The Meeting Room Problem
The average enterprise professional spends 23 hours per week in meetings. And yet meeting rooms — the physical infrastructure that hosts those meetings — are often an afterthought in office planning.
The result: AV systems that do not work reliably, acoustics that leak into open office areas, booking systems that are constantly double-booked, and rooms that are the wrong size for actual meeting patterns.
AV: The Non-Negotiable Baseline
For enterprise teams that operate globally, meeting room AV is mission-critical infrastructure. The baseline should include: a 75-inch or larger 4K display, a ceiling-mounted or bar-format conference camera with auto-framing, a microphone array that covers the full room without dead zones, and HDMI + wireless screen sharing (Miracast or equivalent).
Beyond hardware, the system should be zero-setup. Participants should be able to walk in, tap to join, and have audio and video working within 30 seconds. Systems that require troubleshooting burn meeting time and erode executive confidence.
Room Size Ratios That Actually Work
Many offices get meeting room ratios wrong. The standard guidance — one meeting room per 10 desks — was designed for a world of full-time office attendance. For hybrid teams, a better ratio is one meeting room per 6-8 desks, weighted toward smaller rooms (4-6 people) over boardrooms (12+ people).
The data consistently shows that 70-80% of meetings involve four or fewer people. Building a calendar of large boardrooms and small focus rooms misses the actual demand.
